How do we initiate a project?

A member or a volunteer may be able to bring in the project for discussion.

Who is responsible for the project?

The member or volunteer who brings in the project becomes the project coordinator and will be responsible for that project. In the event that a person introducing the project is unable to take up the responsibility, 'Beyond Intent' will appoint a member as the project coordinator.

Project description

This is a document that provides information about the project. It should highlight the goal of the project and should confirm with project description standard form.

The document should provide information about project in terms of:

  • Goal
  • Budget
  • Timeline
  • Beneficiaries / Target Audience
  • Self Sustainability

What is the criteria for selecting a project?

Each proposed project is discussed in the 'Beyond Intent' meetings. Generally the project selection is based on answers to the following questions:

  • To what level does the project solve undertaken issue?
  • What is the total cost of the project and how much is requested?
  • What is the timeline of the project? When will the tangible results be available?
  • How this project helps the beneficiaries and how they plan to help the society in return?
  • When will this project become self-sustainable?

When does a project get approved?

A project gets approved when all the information about the project has been documented, all the questions raised during discussions have been answered. Most importantly this means locking and approving the following eight fields of the project proposal document:

  1. Project Goal - Issue to be resolved
  2. Project Description - Proposed Solution
  3. Project Coordinator - Person Responsible to provide answers / documents / project status
  4. Local Point of Contact - Person/Organization responsible for monitoring the project at destination
  5. Budget - Cost Details
  6. Timeline - Proposed deadlines
  7. Self sustainability - How the project will sustain?
  8. "Giving Back" Element - How the beneficiaries plan to help the society in return?

How do we approve the project?

The project is approved at the general meeting of 'Beyond Intent' by popular vote from the members present at the meeting.

What happens ONCE a project IS APPROVED?

The project then moves into detailed planning phase. This involves:

  • Developing a financial plan giving detailed cost analysis
  • Developing resource availability plan (such as people or other resources needed)
  • Defining the logistics of the project
  • Defining milestones and deadlines
  • Defining risks involved
